Join the Ocean Supercluster team for an exciting and challenging opportunity as Events and Admin Coordinator. We are looking for a detail-oriented professional who is willing to learn and work in a fast-paced environment as we connect with Ocean Supercluster (OSC) members to grow the ocean economy in Canada.

The Events and Admin Coordinator supports the preparation and execution of the OSC's member events (2-3/year) as well as smaller events and forums. The Events and Admin Coordinator ensures successful execution of our events and will lead/deliver on many aspects of the events including planning and design, registration, speaker support, member/delegate support, vendor/supplier coordination, contracting and administrative tasks as required. In addition, the Events and Admin Coordinator will provide administrative support to the senior leadership team and the broader organization.

Contract (1 year) salaried position.

Location: Any Atlantic Canadian location, however preference may be granted to locations where OSC has current staff members

Roles and Responsibilities:

  • Plan and execute logistics for all conference and events
  • Manage multiple, complex timetables successfully in a collaborative and fast paced environment
  • Organize internal team meetings to design and manage the event plan
  • Manage all event logistics, ensuring events run smoothly and on time
  • Create and manage event budgets and invoicing
  • Organize transportation, hire and coordinate speakers or presenters, hire/manage Audio Visual teams as/if necessary
  • Assist delegates with conference event planning and project coordination inquiries
  • Support the communications team with marketing and promotional activities for events
  • Manage incoming event requests and build relationships with speakers and participants
  • Participate in interdepartmental and cross-functional discussions pertaining to events
  • Write post-event reports outlining key successes and opportunities for improvement
  • Provide administrative support to senior leadership team including, but not limited to, calendar management and meeting coordination, travel arrangements, expense report preparation.

Required Competencies:

  • Post-secondary degree or diploma program completion
  • At least one year of experience in a similar role
  • Personable, presentable, articulate and able to work effectively with a team
  • Excellent verbal and written communication skills
  • Strong organizational and problem-solving abilities
  • The ability to multi-task and juggle multiple priorities
